Clerical staff are the backbone of a government office. The movement of files, replies to letters, upkeep of records, and the work on budgets and salaries all pass through the desk of the clerk or assistant. In Chhattisgarh this role is known as Assistant Grade 3. Lakhs of graduates who would rather secure a stable government job first than run the long race to become an officer look at this recruitment seriously. This article walks through the process, eligibility, syllabus, computer and typing preparation and a study plan, in order.
An important note: the number of posts, the finer points of qualification, typing speed, the computer certificate condition and the form of the examination can be different in every advertisement. Where we are not certain of a fact, we have not written a number. The final source is always the current advertisement.
Latest Notification and How the Recruitment Cycle Works
Recruitment to clerical posts takes place at the demand of different departments. Generally the Chhattisgarh Professional Examination Board, that is Vyapam, conducts a combined examination, although many departments also issue recruitment on their own. Please note that this is not the Madhya Pradesh Vyapam. The cycle runs like this.
| Stage | What happens |
|---|---|
| Advertisement | Department-wise posts, qualification, age, computer and typing conditions |
| Online application | Registration on the portal, document upload, fee |
| Written examination | OMR-based or computer-based multiple-choice test |
| Skill test | Typing or computer proficiency check (where the advertisement says so) |
| Document verification | Certificates and eligibility examined |
| Final list and allotment | By marks, category and department preference |
The typing test is sometimes only qualifying and sometimes a direct part of merit, so read this first in the advertisement. For fresh announcements you can look at the news section of pareeksha.in, but apply only on the official portal.
About the Post and Its Work
Assistant Grade 3 is the entry-level clerical post in a government office. It can exist in different departments such as revenue, education, health, panchayat and rural development, and the treasury. The usual duties are these.
- Mail and correspondence. Entering letters in the inward and outward registers, drafting, typing and forwarding letters.
- Handling files. Writing the noting on a file, preparing a summary of earlier action and taking the next step as the officer orders.
- Record management. Classifying and maintaining records and managing old documents.
- Accounts-related work. Salary bills, travel allowances, budget entries and simple accounting work.
- Computer work. Data entry on MS Office, e-Office or departmental portals, preparing reports and email.
- Public dealing. Receiving applications from citizens and the initial handling of applications under the Right to Information Act.
The work of an Assistant Grade 3 rests on paper procedure, so an understanding of rules and the habit of working carefully are what help most.
Post and Vacancy Structure
Vacancies are given department-wise and category-wise in the advertisement. Reservation follows Chhattisgarh government rules for Scheduled Tribes, Scheduled Castes, Other Backward Classes and the Economically Weaker Sections. Horizontal reservations for women, persons with disabilities and ex-servicemen also exist. Do not accept a number from any source unless it appears in the advertisement's table.
Eligibility
Educational qualification
Generally a bachelor's degree from a recognised university has been treated as the basic qualification. In many cycles knowledge of computers, or a certificate such as a diploma or certificate course from a recognised institution, has been compulsory or desirable. Some recruitments have also asked for knowledge of Hindi or English typing. These conditions have changed over time, so do not pay the fee for a computer course without seeing the current advertisement.
Age limit
The age limit and the relaxation for reserved categories are in the advertisement. The date for calculating age can differ between advertisements.
Domicile
Residents of the state receive reservation and other benefits as per the rules. Also check in advance whether your domicile certificate is within its valid period.
Application Process
- Registration: create an account on the portal with a valid mobile number and email.
- Details: enter your name, date of birth and father's name exactly as in your educational certificates.
- Documents: upload the photograph, signature, marksheets, computer certificate and caste or domicile certificate in the prescribed size.
- Department choice: if the advertisement asks you to fill in a department preference, do it thoughtfully, since the chance of changing it later may be limited.
- Fee and receipt: make the payment and keep the receipt safe.
Exam Pattern
The general form of the written test is below. Check the distribution of subjects and marks in the advertisement.
| Section | Usually |
|---|---|
| General Hindi | Spelling, grammar, comprehension |
| General English | Grammar, vocabulary, comprehension |
| Quantitative aptitude | Arithmetic questions |
| Reasoning | Mental ability |
| General knowledge | Chhattisgarh and India |
| Computer knowledge | Basic computers |
| Office procedure | Working of departments and government |
Not all these sections appear in every cycle. In many cycles computers were kept with the general subjects instead of as a separate section. This is why you should give every subject equal attention in the beginning and set priorities once the advertisement arrives.
Preparing for the Typing and Computer Test
For recruitments that ask for a typing test, both speed (words per minute) and accuracy are judged. The minimum speed and the accepted font will be written in the advertisement. We are not giving any number. These points help in every situation.
- Practise on the correct keyboard. For Hindi typing, government offices generally use the Inscript layout. It takes two or three weeks to learn, but afterwards it is the most dependable. Layouts such as Remington are also available, yet you must learn the one accepted in the advertisement.
- Unicode versus old fonts. Many examinations are now held in Unicode (for example the Mangal font). So practise in the same environment.
- Twenty to thirty minutes daily. A short daily practice beats a long occasional session. Accuracy first, speed later.
- English typing. If it is asked for, add a little daily practice and watch spaces, paragraphs and punctuation.
- Basic computer tasks. Formatting, tables and page setup in Word; formulae (SUM, AVERAGE, IF), sort and filter in Excel; basics of PowerPoint; file and folder management; email and the internet.
Detailed Syllabus and How to Study
1. General Hindi
Spelling correction, sandhi, samas, prefixes and suffixes, gender, number, case, tense, voice, antonyms and synonyms, idioms and proverbs, one word for many words, unseen passages, types of letter writing, and the language of government correspondence (office memorandum, circular, semi-official letter, reminder). For a clerical post, official Hindi has its own importance, so do read the technical vocabulary such as application, report, opinion, noting, draft and precis.
2. General English
Parts of speech, articles, tenses, subject-verb agreement, prepositions, voice, direct and indirect speech, synonyms and antonyms, one-word substitution, idioms, spelling, error spotting, sentence improvement, cloze test and comprehension. Twice a week, read a newspaper editorial slowly and keep a list of unfamiliar words.
3. Quantitative aptitude
- Number system, HCF-LCM, simplification
- Percentage, profit and loss, discount, simple and compound interest
- Ratio and proportion, partnership, mixtures
- Time and work, speed-distance-time, boats and streams
- Average, ages
- Basic mensuration formulae
- Data interpretation (tables and graphs)
How to study. First memorise tables, squares and cubes, which raises the speed of all mathematics. For each question type, solve five examples and write them in your formula notebook.
4. Reasoning
Series (number and letter), coding-decoding, blood relations, direction sense, order and ranking, Venn diagrams, statement and conclusion, analogy, classification, clocks and calendars, puzzles. This subject opens through practice, not memorising. Do 15 to 20 questions of one topic daily.
5. General knowledge
Chhattisgarh. History (Dakshin Kosala, Sirpur, Bhoramdeo, Kalachuri), geography (Mahanadi, Shivnath, Indravati, Arpa, the Bastar plateau, the plains), tribes, folk art (Panthi, Pandwani, Raut Nacha), languages and dialects (Chhattisgarhi, Halbi, Gondi), formation of the state (1 November 2000), administration and major schemes (only those running at present).
India. Basics of the Constitution, fundamental rights and duties, Parliament and state government, main phases of history, geography, basic understanding of the economy, recent events, awards, sports and important days.
6. Office procedure and understanding of governance
Structure of a file, inward and outward registers, noting and drafting, basics of the Right to Information Act 2005, e-governance, office etiquette and confidentiality. Even when it is not asked directly, this understanding helps at the interview stage or at the workplace.
7. Computer knowledge (for the written test)
- Basic concepts. Parts of a computer, input and output devices, the CPU, the difference between RAM and ROM, hard disk, USB, storage units (bit, byte, KB, MB, GB, TB).
- Software. System and application software, operating systems (Windows), language translators, viruses and antivirus.
- MS Office. Word shortcuts (Ctrl+C, Ctrl+V, Ctrl+X, Ctrl+Z, Ctrl+S, Ctrl+P), cells, rows, columns, formulae and charts in Excel, slides in PowerPoint.
- Internet and security. Browsers, email, e-governance, cyber security, phishing and strong passwords.
- Number systems. Basics of binary and decimal.
Questions here are short and direct, so this section gives the best marks in the least time.
An Example of Noting and Drafting
Learning how a note is written on a file prepares you for the work and also for language questions. Suppose an employee has applied for leave. The assistant's note has three parts: first a short summary of the case (the employee's name, post, period of leave and reason), then the position under the rules (how much leave remains in the employee's account, as seen from the records), and finally a proposal such as "In view of the above, submitted for sanction of leave." A note carries no emotional or unnecessary words, the sentences are short, and facts are written in order.
A draft, that is the text of a letter, usually has the letter number, date, addresses of sender and recipient, subject, reference, the main content and the place for signature. The "subject" should tell the whole matter in one line. Examination questions come from this area too, such as the difference between an office memorandum and a circular. In general, a circular is meant to send one piece of information to many offices or officers, while an office memorandum gives a formal order or information on a subject.
Salary and Career Growth
The salary of an Assistant Grade 3 is decided by the Chhattisgarh government's pay rules. See the pay level and the starting salary in the advertisement, since it changes with pay commission revisions. Dearness allowance and other allowances are added as per the rules, and other permanent government benefits come with the job.
The usual ladder is Assistant Grade 3 to Assistant Grade 2, then Assistant Grade 1 or a higher-grade clerk, then superintendent and, depending on the department, posts such as section officer. Promotion depends on seniority, departmental examinations and the department's recruitment rules. For those who want to prepare for exams like CGPSC while working, this job gives financial stability, though time management is a challenge.
Previous-Year Trends
- General studies, meaning Hindi, English, mathematics and reasoning, make up the big share of marks, and merit is decided there.
- Computer questions have been direct and simple, but errors creep in through carelessness.
- The weight of Chhattisgarh GK has been higher or lower depending on the recruitment, but ignoring it is not wise.
- The number of candidates clearing typing has differed from one recruitment to another, and many candidates strong in the written test fell behind here. So start typing practice from the beginning.
- Cut-offs have differed by category and cycle, so we are not stating any score.

Month-by-Month Preparation Plan (Four to Five Months)
Month 1: Foundation. Survey the whole syllabus. Mathematics tables and formulae, Hindi and English grammar. Start 20 minutes of typing every day; if you plan to learn Inscript, do it this month.
Month 2: Mathematics and reasoning. Complete all the main chapters of mathematics for the first time. In reasoning cover series, coding, blood relations and direction. Read the basic computer topics once.
Month 3: General knowledge. Keep Chhattisgarh and India GK in separate notes. Each week take one history, one geography and one Constitution topic. Solve Hindi unseen passages daily. Measure your typing speed.
Month 4: Practice and mocks. Three full mocks a week. Focus on time management: mathematics and reasoning first, difficult questions at the end. Keep a notebook of wrong questions.
Month 5 (if time allows): Revision. Revise all notes, go through weak subjects again and bring typing accuracy above 95 per cent. This is a practice goal, not an exam requirement.
Books and Resources
- One simple, popular grammar book each for Hindi and English, with practice questions
- NCERT of classes 6 to 10 for mathematics and one practice book
- One basic computer awareness book, plus real practice by opening Word and Excel
- One updated Chhattisgarh GK book and the official website of the state government
- Previous-year papers of Vyapam and other state clerical examinations
- Free typing practice software that includes Inscript practice
Common Mistakes
- Leaving typing for the end. Speed is a skill built over weeks, not overnight.
- Thinking computers are easy. The questions are easy, but they need precision of terms.
- Practising on the wrong layout. If the exam asks for Inscript and you practise on another layout, all the effort is wasted. Read the advertisement.
- Ignoring spelling. A spelling error is taken seriously in a clerical post, both in the exam and on the job.
- Inconsistency in documents. Different spellings of your name across certificates can block verification.
- Going into the exam without mocks. Time management comes only from practice.
